About the Job

Position Summary: Supports the daily operational needs of the Clinical Scheduling Representatives: troubleshoots scheduling challenges, facilitates cross training and cross team support based on fluctuating census of teams, monitors opportunities for improvement relative to the scheduling function and provides suggestions for improvement based on findings. Coordinates schedules between employees and patients. Works with the clinical team to ensure patients are scheduled based on need and physician ordered frequency. Reviews staff schedules on a daily basis and notifies the clinical manager of scheduling volume concerns. Provides administrative support to the clinical teams relative to employee availability tracking.

Responsibilities

Essential Duties & Responsibilities including but not limited to:

1. Act as liaison between employees, patients, and administration in regard to new schedules or scheduling changes.
2. Provides administrative support and assistance to the clinical team as needed including answering incoming calls, taking accurate messages, follow up communication, and running reports as needed. 
3. Accepts referrals from Intake and assigns to a case manager
4. Assigns patients to appropriate interdisciplinary team members
5. Maintains Master Employee Schedule to ensure it is accurate and up to date.
6. Completes and maintains the scheduling for professional and paraprofessional staff on an ongoing basis:
   1. Tracks and reviews field staff daily schedules, notifying the Manager of under/over scheduling  for individuals
   2. Assists in the coordination of weekend back up scheduling
   3. Coordinates the Clinical On Call Schedule in conjunction with the other Clinical Scheduling Specialists.
   4. Assists with preparation of holiday visit scheduling needs
   5. Documents telephone interactions in the EMR. Completes documentation in accordance with agency timeliness policies.
7. Communicates with and provides back-up coverage and support to other associates in the department, this includes coverage of the agency holidays.
8. Serves as point person for software updates/changes related to scheduling functions. 
9. Other related duties as requested or assigned.

Qualifications

Minimum Qualifications:

Education:

• High school graduate or GED preferred.

Licensure, Certification & Registration:

• N/A

Experience:

• Experience in office administration required.
• At least 3 years of scheduling experience in a Home Health Care setting.

Skills, Knowledge & Abilities:

• Demonstrates excellent customer service and interpersonal skills including telephone etiquette.
• Ability to multitask.
• Ability to accept direction and supervision.
• Computer literate with a working knowledge of Microsoft Office.
• Clerical skills including typing, filing, copying and faxing.
• Possesses a high regard for and attention to detail and organization.
• Must be a Team Player.
• Is dependable, punctual and has a positive work attitude.
