About the Job

Under the supervision of the Coordinator of Medical Records & Release of Information, the individual in this position is responsible for assisting the Coordinator of Medical Records & Release of Information with fulfilling requests for records. The Medical Records Associate II must be detail oriented and be able to work efficiently under tight timelines. The individual in this position will be required to regularly coordinate with internal staff including but not limited to Program Directors,Clinical Supervisor, Nurse Manager and the Medical Director as well as external stakeholders including lawyers, consumers and their families and other healthcare providers.

Responsibilities are:

  1. Reviews charts to ensure they are complete, contain necessary signatures and comply with the established format.
  2. Coordinates requests for medical records from both internal and external stakeholders.
  3. Determines that the requests complies with state & federal regulations, including but not limited to HIPAA and 42 CFR Part 2.
  4. Coordinates with the off-site record storage vendor related to shipment and retrieval of records as needed.
  5. Scans paper documentation into the electronic health record.
  6. Maintains a working knowledge of applicable regulations related to the confidentiality of substance use disorder patient records.
  7. Demonstrates strong problem solving, critical thinking, organization, presentation, facilitation and communication skills. Tracks, assesses, manages and monitors risks and issues and provides solutions where applicable to minimize agency risk.
  8. Other duties as assigned


  • High School diploma or equivalent required, Associates degree preferred
  • One to three years of experience working with medical records and release of information required
  • Knowledge of federal and state guidelines, regulations and statutes concerning confidentiality and release of information
  • Organized with an ability to prioritize time-sensitive assignments
  • Ability to exercise sound judgement and to consult with supervisor as needed
  • Effective verbal and written communication skills


Part time, 20 hours per week
