About the Job

GENERAL SUMMARY:  Responsible for retrieving medical records next day scheduled procedures and audits.  Provide telephone support to internal and external customers.  Responsible for providing coverage for the Physician’s Incomplete Records Room during shift change. 

PRINCIPAL FUNCTIONS:

1. Exemplifies Winchester Hospital’s values and Service Excellence standards.  Commits to making every encounter with our patients, patients’ family, co-workers, physicians and other customers the best that it can be.

2. Complies with all Winchester Hospital policies and procedures and Code of Business Conduct.  Takes responsibility for own safety as well as the safety of patients, patients’ family, co-workers, physicians and other customers.

3. Using the schedules provided, assures all medical records are pulled for patients being seen in Surgical Day Care and the ACU for the next day.  Ensures every chart is updated prior to delivery to these units. Sends charts to off-site location(s) via courier as needed.

4. Pulls physician’s incomplete medical records as requested.  Strives for 100% retrieval. Covering the Physician’s Incomplete desk during shift change.

5. Answers telephone calls and handles medical record requests for patient care and other related record requests.

6. Retrieves medical records for QA studies and audit requests.

7. Sorts and files loose reports in appropriate location according to established department procedure.

8. Knowledge of scanning process as needed.

9. Responds to requests for release of health information, adhering to federal and state guidelines.

10. Participates in the following:
    1. Mandatory training requirements as per hospital policy
    2. Continuing education/inservices to enhance knowledge
    3. Staff meetings
    4. Performance improvement initiatives
    5. Orientation of new staff, students, and/or volunteers

KNOWLEDGE, SKILLS, ABILITIES:

1. High School Diploma required.
2. Six months medical record filing experience preferred.
3. Knowledge of medical terminology.  
4. Keyboard experience and ability to navigate scanning software.
5. Ability to operate office equipment.

6.      Excellent customer service skills with the ability to communicate.

7.      Ability to troubleshoot problems and work independently.

PHYSICAL, MENTAL AND VISUAL REQUIREMENTS:

1. Bending, stretching and lifting is required in handling, delivering and filing medical records and reports and maintaining file area in a neat and organized manner.  Proper use of a foot stool.
2. Duties include periods of sitting, standing and walking. 
3. Ability to enter information into a computer or similar devise using normal dexterity.  Vision acuity to view computer monitor and read text on screen for accuracy.
4. Ability to operate office equipment including medical record scanner and software.

OSHA EXPOSURE:  Job does not involve possible exposure to blood, body fluids, or tissues.

REPORTING RELATIONSHIP AND SUPERVISORY RESPONSIBILITY: 

1. Reports to a Manager of Operations.
2. Not responsible for supervising the work of others.
