About the Job

Provides support for leadership positions and department by leading and managing administrative work, projects and staff.  Performs various administrative functions requiring in depth knowledge of department programs, operations, services, and BILH policies.  Provides management of daily administrative operations of Employee Health.  Manages surveillance programs including Respirator Fit Testing and Tuberculosis Screening. Works collaboratively with the Director in the planning and implementation of  Employee Health programs.

 

Essential Duties & Responsibilities including but not limited to:

  1. Provides oversight to all administrative functions. 
  1. Oversees application of EH visit schedule.  Assists administrative staff with scheduling issues and troubleshooting of EH visit schedule. 
  1. Acts as a liaison between Employee Health and Human Resources with respect to new hire appointments/process.
  1. Acts as system administrator for the EH electronic medical record system.  Interfaces with the vendor and IT for planning upgrades, additional equipment, problem resolution.
  1. Acts as point person for invoicing and troubleshooting of invoicing issues.  Assists administrative staff with billing, supply ordering, and invoicing issues.
  1. Provides data entry support for EH EMR and onboarding process for new hires
  1. Coordination of respirator medical clearance and respirator fit testing program.
  1. Coordination of annual TB screening program.
  1. Plans and schedules and communicates fit testing sessions with managers and employees
  1. Performs respirator fit testing for colleagues as needed
  1. Plans and participates in training of department based respirator fit testers
  1. Runs reports and communicates compliance data with department managers.
  1. Assigns administrative duties to other administrative staff according to department needs and in collaboration with the Director of Employee Health.

Minimum Qualifications:

Education:

Bachelor’s degree

Licensure, Certification & Registration:

NA

Experience:

1-2 years of Employee Health or Occupational Health experience preferred.

Computer Skills

Proficient skills with Microsoft and Google applications and other web based applications.  Ability to produce complex documents, maintain databases.

Skills, Knowledge & Abilities:

Excellent communication and interpersonal skills, verbally and written

Excellent decision making and organizational skills

Able to work independently with limited direction

Ability to multitask

Ability to work with people of multiple ages, from teenagers to mature adults.
