About the Job
JOB SUMMARY: Contributes to the Hospital’s mission by providing the administrative support for the Hospital’s Infection Prevention and Employee Health Services, which includes the tracking, monitoring and reporting of Workers Compensation and Employee Injury cases. This administrative position will have an impact on staff satisfaction and hospital expenses by effectively monitoring employee injury cases and identifying concerning trends to be addressed as part of the department’s performance improvement initiatives.
· Associates degree in Business or related field. An additional two (2) years of relevant work experience may be considered in lieu of the degree
· At least three (3) years of relevant work experience
· Experience with Workers Compensation or Human Resources Administration
· Competence in Microsoft Office products including Excel, Word, and PowerPoint
· Ability to gather and interpret data
· Ability to interact with courtesy and tact
· For safety and quality reasons, must be able to read, write and communicate effectively in English with patients, visitors and fellow members of the hospital team.

· Not responsible for supervising the work of others
As part of the Employee Health/Infection Prevention team, this position:
· Provides administrative support for the manager and the department
o Types memos, correspondence, reports and various forms usually from rough draft or instructions. Proofreads and edits final draft materials for accuracy, consistency and clarity, and submits in a signature ready format.
o Posts and data inputs information in records, logs and computerized databases.
o Maintains department and manager filing systems.
o Schedules appointments and meetings for the department and manager. Makes routine travel and conference arrangements as necessary.
o Greets visitors to the department and answers the phone in a manner that is respectful and empathetic. Takes accurate and comprehensive messages. Answers questions within department policies and procedures.
o Receives and distributes department mail, responding to routine inquiries with minimal direction.
o Orders forms and supplies for department, maintaining an optimal inventory considering storage space and likely inventory needs. Monitors supply expenses to ensure expenses remain within budget.
o Maintains department’s schedules in HRIS system and submits hours to Manager for approval/processing.
· Facilitates the hospital’s Workers Compensation program
o Processes claims submitted and required documentation and calculations. Ensures the required incident reports are filed and informs internal and external contacts to ensure the employee’s claim moves smoothly through the processes.
o Monitors cases, maintaining respectful contact with the employee to document the status and progress and ensure required medical and other documentation are submitted as needed.
o Processes government required documentation and reports. Submits required payments as required by law and follows through with Accounting to ensure charges are recorded properly.
o Collaborates with the Workers Compensation vendor to maximize the effectiveness of the relationship, with a goal towards minimizing Workers Compensation expenses while ensuring our staff receives the benefits and services necessary to return to work in a timely yet optimal manner.
o Runs reports and analyzes data to assess expenses and incident trends. Makes recommendations to the Manager to improve the process and/or control costs long term. Communicates concerns to Manager and other stakeholders including but not limited to unit management, Risk Management and Human Resources.
· Administers the Hospital’s Injury Prevention Workplace Violence programs
o Reviews Occupational Injury reports. Follows up with employee and/or supervisor to investigate situation.
o Assesses incidents, determines root causes, contributing causes and preventability, and compiles reports as needed.
o Maintains work related injury data. Collaborates with the supervisor and other related departments to gather and share pertinent information. Analyzes data for trends and anomalies.
o Identifies opportunities for improvement and recommends action plans to prevent similar incidences from happening again.
o Participates in process and safety related teams to minimize safety concerns throughout the hospital, providing the necessary history and data for the team to properly assess the issues and implement changes.
o Collects Abusive Patient related incidents and presents to Safety Coordinator for review at Workplace Violence meetings.
o Maintains OSHA logs and submits required reporting.
o Distributes annual OSHA logs for posting throughout the hospital.
· Facilitates the Hospital-wide Flu Vaccination Program
o Arranges rooms and distribution to ensure a smooth operating clinic.
o Runs reports and distributes to management as necessary regarding employee participation and/or declination.
o Verifies employees and other pertinent individuals affiliated with the hospital have the required documentation. Follows through with leaders to maximize participation.
