About the Job

Position Summary:

The Radiology Office Coordinator provides administrative support to the Executive Director of Radiology and Laboratory Services and coordinates and assists in the operations of the departments. The Radiology Office Coordinator position requires a high degree of analytical skills, critical thinking and judgment to resolve issues in a calm and professional demeanor with the ability to work efficiently and effectively in a fast paced environment.  The position requires frequent interaction with Managers,  Technologists, Radiologists, and Doctor’s Offices.  The Radiology Office Coordinator requires the skills necessary to be composed and professional and to keep information confidential related to employee and patient information, complaints and grievances.  The Radiology Office Coordinator:

 

  • Generates reports and analyzes data from a variety of IT systems and applications on a regular basis. Creates and inputs data into spreadsheets, pivot tables, powerpoint presentations, graphs, etc. including key driver and referral volume reports, Epic reports, critical results and stroke protocol tracking, utilization and capacity reports, productivity reports, purchasing system reports. 
  • Assists radiologists with multi-disciplinary review committee meetings.
  • Utilizes Epic and radiology systems at a high level as a Super user.
  •  Processes payroll.
  • Monitors and analyzes payroll for budget management and OT utilization. 
  • Provides operational support as needed.
  • Maintains and updates department records and files, maintains accurate records for the radiology departments, orders supplies, processes PO’s and invoices, and assists in delivery of urgent, confidential and date sensitive materials.
  • Performs clerical duties such as: filing, scheduling/coordinating meetings, copying, recording and typing meeting minutes, documents, correspondence, proposals, memos, reports and policies and procedures.
  • Organizes department policy and procedures, hard copies and on line.

 

The Radiology Office Coordinator works in collaboration with other departments, managers, directors, and physicians to assure accurate and timely reporting of data and reports. The position requires demonstrated organizational skills with attention to detail, thoroughness, practical decision-making ability, analytical and critical thinking, excellent communication skills and a commitment to team work.  The Radiology Office Coordinator has the ability to make decisions in a fast paced environment and knows when to escalate to the Director. 

Scheduled Hours

36 hours per week, day shift.

Qualifications

  1. Strong knowledge and experience in Windows-based operating software and systems, MS Word, Excel, PowerPoint and Access. Epic system and data analyst experience preferred.
  2. Possess an intermediate level of proficiency with Excel with an ability to create pivot tables & work comfortably with linked spreadsheets.
  3. Two years of relevant experience in a health care organization and knowledge of medical terminology.
  4. Possess strong customer service skills and professional interpersonal interactions.
  5. Possess ability to address difficult situations with tact and diplomacy.
  6. Possess ability to work in conjunction with staff in a supportive way to troubleshoot and resolve issues.
  7. Possess excellent analytical skills, including analysis, planning, organizing, and troubleshooting.
  8.   Possess excellent written and oral communication skills.
  9.   Possess ability to work under minimal supervision.
