About the Job
The Executive Director (ED) of Special Events oversees the development and implementation of philanthropic events and meetings to engage donors and enhance the image and reputation of Beth Israel Lahey Health (BILH) and all member institutions. This includes but is not limited to the strategic planning and oversight of meetings, signature events, conferences, key stewardship events, specific committees, internal events, signature board events and fundraisers.
The ED of Special Events maintains close and collaborative working relationships with all system and hospital leadership, philanthropy leadership, department administrators, chiefs of service, board members and committee leadership in support of philanthropic objectives. They oversee a team of approximately seven staff including three direct reports and vendors in support of events and programs.
The ED of Special Events:
Drives individual event/meeting strategies to ensure that program and content align to philanthropic goals and objectives.
Develops metrics and measurement tools to assess ROI and refine programs to better leverage resources and improve attendance, costs, and program content. Assesses programs to ensure the cost per attendee aligns with the event objectives.
Creates and manages a BILH “global” events and meetings calendar to coordinate dates across the system, minimize overlap/competition, coordinate leadership involvement/attendance, program event content, and maximize audience attendance.
Oversees event vendors including venue contracts and third party vendors to ensure costs are managed and BILH is protected against liability. Ensures events contract dates and terms are correct and maximize resources.
Develops and oversees virtual and in-person event tools including run of show timelines, programs and speaker content, invite criteria, and speaker coaching and presentation development to ensure concise and engaging programming that drives philanthropic results and donor engagement. Crafts remarks and talking points for key speakers and works with the Communications team to collaborate on all event content needs.
Develops event business plans to achieve fundraising goals for events that have established philanthropic goals including golf tournaments, galas, and races.
Essential Duties & Responsibilities including but not limited to:
Oversee the management and execution of in person and virtual events and key meetings, including venue design, run of show/program, digital assets, invitation criteria, response tracking and event marketing. Ensure programs are benchmarked and provide competitive differentiation to set first class standards for events and meetings.
Craft event messaging and content as needed including events materials, presentation content, speech writing and remarks, video scripts, and other events and meeting related content as needed. Work closely with Communications, Frontline Fundraiser, Donors and Leadership to support content needs and messaging for events and meetings.
Develop a BILH/hospital leadership calendar of events and activities to ensure leadership presence at key events on an annual basis.
Work with the Corporate and Foundation Relations team to secure sponsorship opportunities and support fundraisers. Develop sponsorship levels and recognition benefits that align with fundraising goals. Work with marketing and donor relations to steward sponsors and ensure sponsorship benefits align to brand standards.
Support the development of event management tools and guidelines to ensure the highest standards of production quality.
Oversee event committees and serve as event chair liaisons to engage donors, meet fundraising goals, and cultivate prospects.
Oversee the development and implementation of project management tools to facilitate work and allocate resources appropriately.
Develop guidelines for third party events and support fundraising programs as needed.
Identify third party or existing events throughout the community to present speaker and PR opportunities of key faculty and staff to elevate the image and reputation of BILH and its affiliated hospitals.
Develops and maintains a BILH event handbook which includes setting office-wide and institutional guidelines. The handbook includes best practices for fundraisers, event etiquette, working with volunteers, and staff/manager guidelines. It also includes preferred vendor and venue contact lists.
