About the Job
Represents the residence in a professional, pleasant, courteous and accommodating manner to the community and general public. Responsible for meeting and greeting all visitors to the residence and directing them to the appropriate person/area. Directs all incoming phone calls to the appropriate party and performs other clerical duties such as filing, typing, mail sorting, etc.
Responsibilities
Front Desk Responsibilities
Handles all incoming telephone calls in a professional and courteous manner
Directs calls to the appropriate person/department
Greets guests and visitors in a professional and courteous manner
Directs guests and visitors to the appropriate person/department
Coordinates front desk activities, communicating with Business Office Associate either verbally or through the communication log book
Maintains the front desk in a neat and orderly manner
Responds to emergency situations by contacting appropriate party (911), fire department, as directed
Responds to resident requests in a kind and courteous manner
Sorts mail as needed
Changes date on postage meter daily
Ensures Employment Applications are completed and submits a copy to appropriate Manager
Sends” Thank You For Your Application” postcard to all applicants within 48 hours of application submission
Directs all mail forwarding to appropriate address
Completes orientation packets making sure all forms are in the correct order
Checks levels and fills (if needed) paper in copier, fax machine and printer at the end of each evening shift
Puts employee payroll labels on timecards, places in timecard rack, picks up time cards
Performs similar and other related duties as required
Filing Responsibilities
Files all check requests and vendor invoices
Conducts periodic review of vendor files ensuring invoices are being filed in correct folders as directed
Files appropriate documentation in order in each of the residents’ financial folders
Conducts periodic reviews of the residents’ financial files ensuring all documentation is being filed in the correct areas as directed
Cash Deposits/Receipts
Monitors petty cash balance held at reception desk
Monitors and logs movie ticket sales to employees
Maintains and posts guest meal tickets
In absence of Business Office Associate, takes direction from Director of Business Services in completing the process of cash deposits
Qualifications
Education/Experience: Knowledge of basic telephone reception systems and techniques helpful. Possesses the ability to handle all incoming phone calls and visitors in a pleasant and courteous manner, provide clerical support and represent the residence in a professional manner is required. The ability to respond calmly to emergency situations is essential. A high school diploma or GED is preferred.
