Endoscopy Scheduler

1. Manage and communicate information through various processes, which include, but are not limited to the following: computers and telephone/paging systems.

2. Consistently maintain a courteous, helpful, and professional manner with all interactions with all customers.

3. Book endoscopic procedures including but not limited to colonoscopy, EGD, FFS, EUS, ERCP.

4. Schedule patient endsocopy procedures into the endoscopy scheduling system promptly, in a manner that provides the best possible outcome for the patient, while abiding by departmental protocols and procedures.

5. Coordinate with ordering provider for admissions prior to procedure when necessary.

6. Notify physician, Endoscopy, and/or Anesthesia Department of any changes once the schedule has been finalized and sent out.

7. Coordinate any necessary arrangements with other departments (i.e. anesthesia, operating room).

8. Review and mail patient preparation instructions, diets, special instructions as indicated by test and, if required, order preparation medication.
9. Send staff messages through Epic system to providers regarding patient questions and concerns.
10. Work closely with endoscopy nursing staff regarding blood thinners and proper sedation.
11. Work with precertification, financial counselors and admissions to schedule/reschedule patients based on their insurance approvals and authorizations.
12. Research orders for clarification and accuracy utilizing provider notes and direct contact with staff.
13. Perform real time scheduling of clinic patients upon completion of office visit.
14. Rescheduling patients due to changes in physician schedule.
15. Input and schedule outside orders including coordination with outside facility and patient registration.

Minimum Qualifications:

Education:   High school diploma or equivalent work experience in a hospital or physician office setting preferred. Completion of Medical Terminology Course or relevant experience.

Licensure, Certification, Registration:  None

Skills, Knowledge & Abilities:   Strong written and spoken communication skills and exceptional patient relation and customer service skills are critical.

1. Experience:    2 years experience in medical environment. Familiarity with policies and procedures, understanding of scheduling requirements, medical terminology and knowledge of surgical procedure requirements, computer entry and legalities of signing consents forms with accuracy, and screening of medical and financial information.
