About the Job

Position Summary:  To assist, coordinate, and maintain all administrative functions necessary to ensure efficiency of all administrative duties of the Department.  To assist in the maintenance of the functionality of any of the computer systems, work flow, policies and procedures, training coordination, and  any duties as deemed necessary to the most effective functionality of the Department. In collaboration with physicians and other care providers, provides secretarial and administrative support to one or more individuals in a clinical environment.  Utilizes specific knowledge of medical terminology.

Essential Duties & Responsibilities including but not limited to:

  • To assist Physicians and department staff  in preparation for meetings and/or presentations using any computer applications as tools necessary for the presentations including but not limited to Microsoft Word Processing, Excel, PowerPoint, Access, and any other software in the Department.
  • To perform daily administrative functions including but not limited to appointment/meeting scheduling in IDX/ARIA systems, database data entry, answering telephone main number for department, preparation of mail to go out of the Clinic or intra or interdepartmentally.  
  • To perform typing and/or formatting of materials and correspondence as deemed necessary for the department.
  • To prepare any administrative paperwork and/or telephone calls and to follow up on including, but not limited to supply orders, maintenance, book and publication orders, computer requests, moves and housekeeping requests.  
  • To complete departmental record keeping through spreadsheets and departmental databases including but not limited to doctor records and including physician time away.
  • Assist with of all Physician Scheduling as well as to the Lahey Clinic Multidisciplinary Clinics.
  • Schedules and coordinates all Physician, Departmental and Administrative meetings.
  • Supports all Physician related requests including patient requested letters.
  • Supports the departmental library materials, and departmental policies.
  • To uphold and maintain confidentiality and compliance in all areas involving the Department, it's staff, patients, leaders, and or any other confidential material.
  • Coordinates and tracks Physician Time Away.
  • Incorporates Lahey Clinic Guiding Principles , Mission Statement and Goals  into daily activities. 
  • Complies with all Lahey Clinic Policies.
  • Complies with behavioral expectations of the department and Lahey Clinic.
  • Maintains courteous and effective interactions with colleagues and patients.
  • Demonstrates an understanding of the job description, performance expectations, and competency assessment.
  • Demonstrates a commitment toward meeting and exceeding the needs of our customers and consistently adheres to Customer Service standards.
  • Participates in departmental and/or interdepartmental quality improvement activities.
  • Participates in and successfully completes Mandatory Education.
  • Performs all other duties as needed or directed to meet the needs of the department.






Minimum Qualifications:


Education:  High School Diploma minimum


Licensure, Certification, Registration:  N/A


Skills, Knowledge & Abilities:     Excellent written, verbal,and computer application skills.


Experience:     Proven written and computer skills.   Proven ability in Excel, Word, and Excellent data entry skills necessary.  PowerPoint, Access and other database Experience preferred.  Proven responsibility for maintenance of a department with or without responsibility of staff.
