About the Job

The Executive Branch Assistant works in a supportive role to the Executive Directors of Clincial and Hospice and other Director level positions as assigned. This role assists in various high level administrative and clerical functions and in the preparation of reports, graphs, power point presentations and processing of routine and/or complex and/or confidential transactions, calendar management, answers phones, orders branch supplies and serves as back up to other administrative branch needs. The Executive Branch Assistant also assists in typing a variety of documents, creating communications pieces for internal/external customers, preparing reports, office logistics
and in ensuring an orderly office environment as well as participating in special projects.

Full time 40 hour day position

Responsibilities:

  • Provides superior customer service to internal and external clients, customers and patients.
  • Manage the Executive Director’s calendar, schedule appointments, and coordinate meetings, conference calls and appointments.
  • Provides administrative support for the Executive Directors, including preparation of sensitive or confidential reports, presentations and graphs, records and distributes meeting minutes and staff communications
  • Ability to run reports and obtain data from EMR (EPIC)
  • Communicates with clinicians and staff on behalf of the Executive Director or other management personnel as assigned.
  • Maintains all administrative files as they pertain to the Executive Directors.
  • Maintains proper level of medical supply inventory.
  • Coordinates projects and special events.
  • Performs general office duties, such as faxing, copying, answering telephone calls or the branch and directs to the  correct departments, etc

 

Education:

  • Associate’s degree preferred or High School diploma with additional training and experience equivalent to AS degree.

Experience, Skills, Knowledge & Abilities:

  • 4 years of experience in an administrative assistant role.
  • Proficiency with MS Office, including Word, Excel, and Power Point.
  • Proven organizational skills and previous experience working in a detail-oriented position.
  • Demonstrated customer service and strong interpersonal and communication skills including the ability to interface well with other departments in a timely and professional manner.
  • Ability to work independently or as part of a team on multiple and varied tasks/assignments.
  • Attention to detail; accuracy and ability to multi-task and prioritize tasks.
  • Ability to cross-train into other office functions.
  • Proven experience in office administration and health care industry is desired.
  • Sensitivity to confidentiality expectations for privileged information.
