About the Job

 

The Project Management Office (PMO) manager will manage the PMO team members to ensure successful implementation of designed business solutions and projects.  The manager will provide assistance in ensuring the team is following good project management methodology as outlined in the team’s documentation.  The PMO manager will participate and be engaged in major projects and also work with the managers/directors in IT to ensure PM processes are being utilized consistently.  Has expert experience in Project/Program Management and able to coach and mentor the PMO staff and other IT colleagues to help them achieve individual expectations and deliverables.   Assesses resource loads and makes appropriate individual assignments.  The PMO manager will provide dashboards and reports to colleagues and senior management defining our project portfolio utilizing our Google and smartsheet setup.

 

Essential Duties & Responsibilities including but not limited to:

 

1. Supervise, Manage and provide leadership to PMO team of project managers and other staff. 

  • Manages departmental staff and workflow. Addresses performance issues, counsel’s colleagues. Makes recommendations and decisions regarding promotions, demotions, raises, performance appraisals, training, hiring, transferring and termination. Collaborates with Human Resources as appropriate. Participates in workforce management, hiring, interviewing and selection process. Monitors performance of staff. Mentors and empowers staff. Manages daily workflow.
  • Works closely with other Team Managers to create a working environment that ensures success at all levels within the Department.
  • Supports the Program Director as it relates to improving organizational structure, roles, responsibilities, staffing and the administration of the Department.
  • Support and manage assigned colleagues per defined departmental and organizational policies and procedures.
  • Provides integrated focus and direction to colleagues based upon the assignment of clearly defined tasks, due dates and deliverable / outcome expectations.
  • Defines performance expectations and provide consistent feedback on an ongoing basis.
  • Develops staff and resources to ensure high performance and service delivery excellence.
  • Provides training and development support as required or requested.
  • Treats all colleagues with respect and dignity.
  • Participates in the budget process and operates within budget, promoting departmental efficiency.
  • Assists Program Director with the definition and review of departmental goals, standards and performance measures to ensure alignment with the strategic direction of the department and Lahey Health and the accomplishment of the highest levels of job satisfaction, quality output and customer service.
  • Leads and participates in quality improvement initiatives.
  • Develops, updates, implements, and enforces departmental policies.
  • Collaborates with leaders, staff and departments across the organization in support of organizational goals.
  • Helps foster change.
  • Leads or participates on committees and groups.
  • Participates in and provides input into departmental scheduling, ensuring adequate staffing. May manage schedule as assigned.
  • Supports Lahey Health Goals and Guiding Principles.

2. Establish and nurture positive relationships with PMO team’s customers

3. Maintain and improve dashboards and reports related to the portfolio of projects

4. Participate and/or lead projects as needed

5. Advises leadership and/or business executives at the highest levels about the project portfolio, status and resource planning for delivery of strategic business initiatives.

6. Allocates appropriate resources to ensure that projects, enhancements and support is/are completed within committed time, scope and budget.

7. Provides project support as needed

8. Process Improvement

9. Track Portfolio of Projects and keep statuses updated

     

    Education:

    • Bachelor’s degree.  In the absence of a Bachelor's degree 8 years of experience over and above the experience listed below

    Licensure, Certification & Registration:

    • PMI or PMP certification

    Experience:

    • Experience creating Business Requirements, Project Plans, Project Schedules and associated project materials
    • Experience with supporting both purchased and in-house developed hardware and software applications
    • 5 years minimum experience in Project/Program Management Office
    • 5  years minimum experience in healthcare industry preferred
    • 5  years minimum Management, Team Lead, or other equivalent leadership experience

    Skills, Knowledge & Abilities:

    • MS Office Tools (Word, Excel, Project, PowerPoint, Visio)
    • Working knowledge of Smartsheets
    • Expert understanding of Project Management Body of Knowledge (PMBOK) Discipline (Integration, Scope, Time, Quality, Human Resources, Communications, Risk Management, Procurement)
    • Expert understanding of project life cycles within the Company
    • Ability to effectively manage time, prioritize work, multi-task across many assignments and delegate
    • Ability to assess the impact of new project requirements on an existing team workload
    • Technical writing skills producing clear and unambiguous deliverables
    • Provide ongoing reconciliation between long-term goals and short-term actions
    • Establish and Nurture positive relationships with and customer organizations.
    • Ability to articulate a variety of departmental and organizational goals, strategies and plans into integrated tasks with timelines and resource assignments
