About the Job

Position Summary:  Organizes and scans assigned health information documents into the electronic document management system.


Essential Duties & Responsibilities including but not limited to:


  1. Prepares batches of health information documents for scanning into the electronic document management system, removing staples, clips and insuring the pages are easily separated.
  1. Scans assigned health information documents into the electronic document management systems after accurately verifying patient information. 
  1. Performs data entry, keying patient information into the captive software system. 
  1. Monitors the scan process for misfeeds, addressing problems in a timely manner and minimizing interruptions in productivity.
  1. Verifies the quality and accuracy of the scans according to Departmental procedures and communicates any variances to supervisor.
  1. Calibrates the scanner for proper image quality.
  1. Troubleshoots scanners and monitors daily usage of equipment.
  1. Locates, retrieves and signs out non-electronic records, as needed. 
  1. Forwards paper copies of medical information for filing in patient files and/or shredding or purging once initial quality review of scanning has been completed.
  1. Indexes electronic health records, while validating all patient information and patient form type, and assuring that all scanned documents are present in the electronic record. Identifies scanning errors and routes for correction.
  1. Performs routine maintenance of scanning equipment according to departmental procedures and vendor specifications.
  1. Performs file maintenance and quality assurance projects as assigned

Minimum Qualifications:


Education:  High school diploma or equivalent.


Licensure, Certification, Registration:    None Required


Skills, Knowledge & Abilities:     Ability to effectively orgainze and prioritize administrative duties. Ability to access and process electronic information utilizing computer technology.


Experience:   Minimum 6 months of prior clerical processing experience
