Intake Coordinator Youth Services, Hill House

Provides administrative and clerical support services to management and clinical staff. Represents the program to outside collaterals, youth and their families.


1. Offers information, referral and crisis intervention services to persons telephoning or visiting the site. Presents in a professional and welcoming way to all program visitors and callers.

2. Reviews all referrals and works with Program Director to identify suitability/eligibility for program services and, if appropriate sets up intake appointments for new clients, including all associated paperwork. Makes initial call to family/guardian to explain program model and expectations.

3. Works a flexible schedule in order to conduct intakes at times that meet the needs of our youth and families.

4. Conducts intake interviews in a sensitive and professional way, must pay close attention to detail and be able to engage youth and families to obtain necessary information.

5. Responsible for organization of all intake documentation, and client orientation to Rights, Responsibilities, Confidentiality Regulations, Program Rules. Ensures all intake documentation is filled out completely and thoroughly. Responsible for getting completed intake documentation to necessary parties of the multi-disciplinary team (nurse, clinician, etc.).

6. Identifies and reports all risk to Program Director or on-call administrator.

7. Maintains data base and program logs as directed. Reports census/volume figures to Program and Divisional Management. Reviews and records overnight check-in calls, reports any anomaly to Program Director and/or Program Supervisors.

8. Performs outreach functions via phone calls to outside collaterals (hospitals, crisis teams) and establishes a working relationship with these entities.

9. Attends weekly administrative staff meetings and support staff meetings.

10. Responsible for working with the rest of the Administrative Team to ensure the program operates in a manner that is safe and trauma-informed.

11. Responsible for being part of the Administrative On-Call rotation. Provides phone support to program staff and supervisors during non-business hours and weekends. Required to respond to the program in person in emergency crisis situations.

12. Provide milieu support and assist with maintaining staff ratio when needed.

13. Complete monthly program billing.

14. Other duties as assigned.


Associate's degree (A. A.) or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.

Also must possess basic computer skills in word processing and data base management.

Must demonstrate ability to relate to youth and families and treat them in a sensitive and professional manner, also display a willingness to work in a multicultural setting. Identifies and resolves problems in a timely manner; Uses reason even when dealing with emotional topics. Manages difficult or emotional client situations; Responds promptly to client needs and maintains confidentiality.

40 hours, full time

While performing the duties of this job, the employee is regularly required to walk; stoop, kneel, crouch, or crawl; and talk or hear. The employee must occasionally lift and/or move up to 20 pounds. Specific vision abilities required by this job include distance vision, peripheral vision, and depth perception.
