About the Job

Works in a supportive role to the Area Director and other leadership staff as needed.  This role assists in various administrative functions and in the processing of confidential transactions and serves as back up to other administrative staff needs. The Administrative Assistant also assists in typing a variety of documents, creating communications pieces for internal/external customers, preparing reports, coordinating office logistics and in ensuring an orderly office environment as well as participating in special projects.

Responsibilities

Essential Functions:

  • Provides superior customer service to internal and external clients, customers and patients.
  • Schedule/coordinates appointments and meetings, conference calls etc as directed.
  • Provides administrative support for the Directors, including preparation of sensitive or confidential reports, presentations and graphs, records and distributes meeting minutes and staff communications
  • Communicates with clinicians and staff on behalf of the Directors or other management personnel as assigned.
  • Maintains proper level of medical supply inventory.
  • Coordinates projects and special events.
  • Performs general office duties, such as faxing, copying, answering telephones, etc.
  • May perform receptionist duties as needed.
  • Train other Administrative Associates as needed.
  • Orients new staff to office equipment and procedures.
  • Participates on agency committees as needed.
  • Performs other related duties as required.

 

Qualifications

Minimum Qualifications:

Associate‚Äôs degree preferred or High School diploma with additional training and experience equivalent to AS degree.  

2-4 years of experience in an administrative assistant role preferred. 

Proficiency with MS Office, including Word, Excel, and Power Point.

Proven organizational skills and previous experience working in a detail-oriented position.

Demonstrated customer service and strong interpersonal and communication skills including the ability to interface well with other departments in a timely and professional manner.
